How we use information when you enquire about or book a delivery.
Who is responsible for your information
Billy and Dennis, trading in partnership as Robinson & Weldon Logistics (R&W Logistics), are responsible for the customer information described here. Either partner can receive a privacy request on behalf of the business.
Email rwlogistics.bookings@gmail.com; or message 07400 322781 on WhatsApp.
Information used for enquiries and deliveries
Depending on your enquiry or booking, information can include your name, business name, email address, telephone number, collection and delivery addresses, contact details for senders and recipients, access instructions, goods descriptions, dimensions, weight and value. Booking correspondence, quotes, invoices, payment status, delivery records and any complaint or claim may also contain personal information.
We receive information directly from you or from the person arranging a collection or delivery involving you. Please share this notice with any sender or recipient whose details you give us. Only send information needed for the job; avoid sending payment-card details or sensitive personal information in a message.
Why we use it
We use enquiry and booking details to prepare quotes, arrange collections and deliveries, communicate with the people involved, keep payment records and deal with problems.
Our lawful basis is contract where processing is necessary to quote at your request or perform our contract with you. For business representatives and recipients who are not themselves our contracting customer, we rely on legitimate interests: organising and completing the requested delivery and communicating about it. We also rely on legitimate interests to resolve disputes and protect against fraud, taking account of the people affected. Legal obligation applies where records must be kept or disclosed under tax or other applicable law. Without essential contact, address and load information, we may be unable to quote or deliver.
Who may receive information
Relevant job details are shared with the people carrying out or receiving that delivery. Where needed for a payment, claim, dispute or legal obligation, information may be shared with payment-service providers, accountants, insurers, professional advisers or public authorities. Sharing is limited to what is needed for that purpose.
Our enquiry inbox uses Google Gmail and our messaging contact uses WhatsApp. Our website is hosted through OpenAI Sites. These services process information under their applicable terms and privacy notices; some processing is for their own service and security purposes.
Website services and international processing
Our pages do not contain a customer account, payment form, advertising pixel or analytics script added by R&W. Selecting email or WhatsApp opens the relevant external service. The site loads its fonts from Google, so your browser contacts Google when displaying them. Website hosting and delivery services can process connection information such as your IP address, browser information and requests to operate and secure the site.
These providers operate internationally, so information may be processed outside the UK, including in the United States. Their notices explain the countries involved and the adequacy arrangements or contractual safeguards they use where applicable. See Google’s privacy notice, WhatsApp’s privacy notice and OpenAI’s privacy notice for their processing, cookies and transfer information. Contact us if you need help obtaining information about safeguards relevant to your enquiry.
How long information is kept
Retention depends on the reason for holding the information. For an enquiry that does not lead to a booking, the criteria are whether the enquiry and any follow-up remain active and whether there is an outstanding complaint. For completed jobs, the criteria are outstanding delivery or payment matters, applicable tax and accounting record-keeping requirements, and the period during which a claim may need to be brought or defended. A dispute or legal requirement may mean relevant records need to be kept longer. Information should be deleted or anonymised when these purposes no longer require it.
Contact us for the retention position for a particular record. Service providers may have separate retention arrangements for their own account and technical information, described in their notices.
Your rights
Depending on the circumstances, you can ask for access to your information, correction, deletion, restriction of its use, or a portable copy. These rights are subject to legal conditions; for example, a deletion request may not cover records that must be retained by law. If we rely on your consent for any additional use, you can withdraw that consent without affecting earlier lawful processing.
Your right to object: you can object to processing based on legitimate interests because of your particular situation. Contact us using the details above.
We may need information to verify your identity. Requests are normally free and answered within one month, subject to lawful extensions or exceptions. R&W does not use this enquiry process to make solely automated decisions with legal or similarly significant effects.
Questions, complaints and updates
Contact us first if you have a question or concern about your information. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
This notice covers the current enquiry and booking arrangements. We will update it when those arrangements change, including if the business begins trading through a limited company.
